Evershot Parish Hall is a registered UK charity (No. 206475) and operate this website under the jurisdiction of UK Law and regulated by UK Charity Commission. This policy document is required under UK GDPR and the EU Cookie Law.

Our domain names are evershotparishhall.org, evershotvillagehall.org and band-on.co.uk which all point to this site (herein referred to as known as ‘the site’ or ‘this site’).

Comments

If visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help us with spam detection. An anonymised string created from your email address may be provided to the Gravatar service to see if you are using it. The Gravatar service Privacy Policy is available here: https://automattic.com/privacy/. After approval of your comment, your Gravatar profile picture is visible to the public in the context of your comment.

Media

If you upload images to this website or send us images to use on this site, you should avoid uploading images with embedded location data (EXIF GPS) included. This is because Visitors to the website could download and extract any location data from images that contain the embedded location data.

Cookies

If you leave a comment on our site you may opt in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

Who we share your data with

We do not sell your data to anyone. It is carefully maintained by a minimal number of  authorised charity officers for the purposes of communicating our community events to you and may be held for statutory accounting purposes if you make a purchase from this site or at an event. We use the MailChimp system for sending our event notification emails.

We may share immediate data with our security providers such as Defiant Inc. for the sole purposes of detecting and deflecting attempts to damage or hack into this site. This information may also be shared with law enforcement agencies for the purposes of prosecution if we become aware of criminal activity or nefarious use. We may use Google Analytics to see how Visitors use our site and to help us improve your experience and the content we provide. These statistics are anonymised to help protect your identity and may also include collected information about your general location and device, the type of web-browser, as well as the pages you visited, how long you spent, and what you viewed/accessed etc. Note if you request a password reset for an account on this site, your IP address will be included in the reset email.

How long we retain your data

If you leave a comment, the comment and its metadata may be retained for legal or promotional purposes.

Customer Accounts

For users that register as customers, we store the bare minimum of personal information you provide in your user profile. Any registered user can see, edit, or delete their personal information and booking history at any time.

All data collected for event bookings remains intact for a 12 month period and is then anonymised automatically, before being removed after the 2 year accounting period.

Our website administrators may also see this iunformation and can edit your contact details at your request.

Bookings

When you purchase event tickets or make hall bookings or reservations, we will collect your name, the names of the people attending (for admission to the event) which we retain to contact you about your booking. Guest checkout is also available to book without needing to set up an account.

Payment Processing

Payment details such as card details and your address/postcode will be processed by our payment processor only. We do not hold card data on this site. We will retain minimal customer data as part of our accounting records in these systems for up to 2 years to cover the current accounting period and extended while we make up our accounts, which we then purge records from this site.

Mailing List(s)

When you join our mailing list(s), your email address and first name will be collected. Your details are not sold or passed to any third party to use. We will retain your contact details until you unsubscribe from our list(s). Our Mailchimp system may email you annually to re-verify you still wish to remain on our mailing list and for you to update your personal information if it is incorrect or out of date.

What rights you have over your data

If you have joined our mailing list you can unsubscribe at any time using the link provided on our emails. If you unsubscribe, the details you provided will be deleted automatically from our system. If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This is known as a Data Subject Request (DSR). This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Where we send your data

Visitor comments may be checked through an automated spam detection service, and your IP address and activity on this site will be checked through an automated anti-malware/security system, to help us protect our site and your personal data. Card processing data is handled by Square Up (square.com).
